Managed Print Services – What is MPS and how does it work?

Managed Print Services (MPS) enables you to outsource the management of all of your hardcopy output devices within your organisation. These can include copiers, multifunctional devices, printers and fax machines.

Managed Document Services (MDS) offers a greater considers scope of services such as document workflow and Electronic Document Management.

A typical MPS/MDS arrangement would include the key features below:

Consolidation of existing hardcopy output devices and any new devices and solutions required into one single and manageable rental/finance and maintenance agreement. These can be represented as single or multiple Cost per Page associated with overall volume of output or usage.
Service Levels that are designed for the Clients individual requirements.
Complete and comprehensive management information and consolidated billing.
Enables you to deploy total document control and routing workflows.
Continual environment optimisation throughout the lifetime of the agreement.

Additionally there are a wide variety of services and software applications that can also be included within this set of core features.

Key software applications underpin MPS solutions, which are categorised into four sections:

Discovery and design software (Print Audit) enables us to analyse and plan for the necessary changes for implementing a MPS
Print Management software manages the quantity and type of print and authenticates users of the system
Device Management software manages and monitors the print devices
Scan Routing software enables you to route scans to a variety of destinations including email, network folders, fax servers, network folders, or workflows
